                • The file is available in the SLD portal for customers with an active support contract and is required for all Knowledge Discovery installations running CE 23.2.
                • New key will be issued with every future Knowledge Discovery release.

April 2024: What’s new in OpenText Knowledge Discovery (IDOL) CE 24.2

Organizations are looking for conversational access to enterprise data; in a world where 90% of existing corporate knowledge is in unstructured data, over 50% of organizations are not tapping into this aspect of their knowledge with any form of discovery. Customers can use the new interfaces with Q&A using natural language questioning to deliver their information with data securely to all users.

This OpenText IDOL 24.2 release includes various functional and performance improvements, new connectors, file format support, and many other additions.

              New solution added: Teams client

              • Customers can access functionality using simple natural language prompts directly via the Teams interface.

              Ingest & connectors

              • Drupal Connector – Updated to support the latest API changes and allow data extraction from old and new Drupal versions.
              • Google Workspace Connectors – Content extraction is now accessible from the major Google Workspace apps including Mail, Calendar and Chat using dedicated connectors.
              • Web Connector 2FA – Updated to allow 2Factor Authentication.
              • Additional new connectors – Stack Exchange; Moodle and OpenText eDocs.
              • IDOL Media Server – Can now run within NiFi, allowing processing of media streams & sources.

              Text analytics

              • Analytics: Search abstraction – IDOL can now automatically decide which index type to use to achieve the best response. The functionality abstracts the complexity of search types, democratizing Enterprise search, and allowing all users to achieve a suitable response, across all levels of an organization.
              • Multi-document summarization – Generative summary compiled from answers sourced from multi documents. The functionality provides richer answer to any question asked as it can be the combination of multiple parts sourced from different documents.
              • Dynamic clustering of vector results to identify grouping – Customers can use the grouping of results to select a variation in documents returned rather than returning very similar documents with no added information.
              • Analytics: LLM based image matching – Image based transformers can be used to generate vectors for the IDOL Index. Customers can now search for similar images based on not just the textual description but also the actual image content.

              Media Server

              • The Media Server as a NiFi processor is now available with full functionality. This allow for NiFi workflows and the ability to scale and manage the Media Server app though Kubernetes.
              • Demo application with abilities to process and analyze images and other functionalities is now available in the Media Server for ease of use.

              KeyView

              • Tabular data detection for One Note & pipe separated text.
              • OCR is now available on MacOS through the KeyView SDKs.
              • Header & Footer are now configurable through Python APIs.
              • Significant Performance improvements through Shared Memory Streaming.
              • Additional Formats, Security & Compatibility improvements.

              Deployment & other improvements

              • HELM charts for Kubernetes provide a comprehensive set of options to assist complex deployments. CE 24.2 brings further enhancements to our HELM charts.
              • Eduction SDK Post-processing access to match context.

What’s New in OpenText Business Network Cloud https://blogs.opentext.com/whats-new-in-opentext-business-network-cloud-3/ Thu, 19 Jun 2025 14:56:23 +0000 https://blogs.opentext.com/?p=999309028 graphic depicting the sky and lights

As summer arrives in the Northern Hemisphere, there's a familiar shift in pace—schools slow down, out-of-offices go up, and calendars open just enough to take a breath. For many, this season invites a moment to reset, reflect, and prepare for what’s next. And at OpenText Business Network, that’s exactly what our latest releases do for your digital supply chain: they deliver fresh innovations to reduce complexity, respond to evolving customer needs, and help businesses thrive in a world that's always on.

OpenText™ Business Network is a leading cloud platform for B2B integration and supply chain collaboration, enabling organizations to connect systems, partners, and data across complex ecosystems. With AI-driven insights, built-in compliance, and a highly secure infrastructure, the platform helps global businesses digitize operations, boost agility, and scale with confidence.

Since our last update in December, we’ve delivered two major releases—25.1 in January and 25.2 in April—packed with enhancements that simplify operations, strengthen resilience, and accelerate decision-making. Here’s what’s new:

Smarter Insights with Command Center and Trading Grid with Aviator

AI continues to take center stage in Business Network, making it easier for users to analyze integration health and act faster:

              • Error message analysis: When B2B transaction errors occur, identifying the root cause can be time-consuming. This feature uses AI to surface patterns, diagnose recurring issues, and suggest resolutions in real time—reducing delays and improving recoverability.

              Elevating Trading Grid Insights

Formerly known as Trading Grid Lens, Trading Grid Insights is now tightly integrated with Aviator for real-time, AI-driven queries:

              • Service Traffic Prioritization: New visibility tools allow IT to manage low- vs. high-priority traffic during peaks, ensuring consistent uptime and service levels.
              • Partial Processing Status: Improved tracking for partially processed documents helps teams stay on top of exception handling and reduces bottlenecks.

              Global Compliance at Your Fingertips

Keeping up with eInvoicing mandates worldwide is no easy task—but we’ve made it easier with expanded compliance capabilities:

              • 25.1 introduced support for the latest Franco-German Factur-X and ZUGFeRD standards, including German X-Rechnung validation.
              • 25.2 added support for Romania (via in-house development), Singapore, and E-Reporting on our TG E-Invoicing Navigator platform.

Integration Enhancements: Secure, Scalable, and Self-Service

              • Advanced SFTP & Containerization: Enhanced security and streamlined deployment are delivered through advanced SFTP support and containerized services for Messaging and Data Integrator.
              • ERP Adapter Expansion: New integrations include SAP S/4HANA P2P, Oracle Fusion SCM, MS Dynamics 365 (Finance & Operations, Business Central), and NetSuite—simplifying ERP-to-B2B integration across more environments.
              • Self-Service Capabilities: From onboarding partners to deleting records and setting up translation maps, our TG Quick Connect workflows reduce onboarding time and empower business users to act independently.

              Enhancing Supplier Collaboration

              • Purchase Order Negotiation: Businesses can now collaborate on POs with trading partners before syncing into back-end systems, improving accuracy and reducing order rework.
              • Package Codes and PO Notes: Shipment and order data are now more precise with added support for dimensional package data and embedded notes.

              Expanding Platform Access and Security

              • SCIM and SSO Enhancements: Streamlined provisioning of users and partners across systems improves identity governance and speeds up community onboarding.
              • Vault & Key Management: Credential management now aligns with enterprise security standards, reducing risk and meeting compliance mandates.

Inspiring people with creativity, curiosity, and new solutions  https://blogs.opentext.com/inspiring-people-with-creativity-curiosity-and-new-solutions/ Mon, 12 May 2025 15:40:59 +0000 https://blogs.opentext.com/?p=999308264

Every day, dm opens its doors to more than two million customers in Germany. We also have an extensive retail footprint across Europe, offering health and beauty products through 4,000 stores across 14 countries.

At dm, employee wellbeing is part of our DNA. We’re always looking for new ways to empower each of our 89,100 employees to make dm an even better place to work. To put that philosophy into action, we give people in back-office teams a chance to experience customer-facing roles in our retail stores.

Some years ago, I took time out from my enterprise content management (ECM) duties to work at one of our stores. It was a brilliant opportunity to see first-hand how our teams use our digital systems to support their work.

              Recognizing opportunities for innovation

My time working in-store gave me many valuable new ideas about how we could improve the employee experience and reduce manual workload for our colleagues, so they can spend more time on value-added customer service interactions.

For example, our in-store teams used to manually collate and send paper documents such as delivery receipts and supplier invoices from our stores in Germany back to our headquarters. Then, colleagues in our central back-office departments would manually re-key the information into our SAP systems to make sure key data was available for other business processes. It was time-consuming, repetitive work.

There were also challenges with document-driven processes in other parts of the organization. Previously, some teams relied on a mixture of shared folders, email inboxes, and phone calls to collaborate on tasks. This led to challenges in terms of transparency and insight into status information, making it difficult to respond to specific requests. Version control was also tricky, and it was hard to avoid duplication of effort.

In total, we store around 80 million documents across the business, and that number is growing steadily year-on-year. To take control of that data, we looked to consolidate and streamline document management across the business.

Taking a fresh approach to document management

Around the same time, we were embarking on another digital transformation project. One of the main goals of the project was to move our country-specific instances of SAP ERP to a single global SAP Retail solution. This transformation will pave the way for our migration to SAP S/4HANA. The driving motivation for all of this was the harmonization of processes and maintaining a future-proof technology platform. It was the perfect opportunity to modernize our approach to document management.

When we evaluated the capabilities of OpenText Content Management for SAP Solutions and OpenText Core Archive for SAP Solutions, we knew that they would be an excellent fit for our needs. Both solutions can be tightly integrated with SAP, including SAP Fiori mobile apps. And with OpenText Content Cloud, we can enhance our document management capabilities while reducing maintenance and management workload.

Harnessing cloud solutions and industry best practices

Working with OpenText Professional Services and a consulting partner allowed us to implement the new solutions very quickly and efficiently. By using tools and accelerators from OpenText FasTrak Migration and FasTrak Move & Modernize, we consolidated over 80 million existing documents on the new platform on time and within budget. That was a big achievement for such a large and complex migration project.

By leveraging the integration capabilities of our OpenText and SAP solutions, we’ve transformed the way we store, manage, and archive documents across our business. For example, our in-store employees now use an SAP Fiori app to take photos of delivery receipts and supplier invoices from their mobile devices. Using digital workflows, we can capture the relevant data and bring it into SAP Retail in real time. Not only are we eliminating manual, repetitive work, but we’re also making information available to the business faster than ever.

Replacing information silos with a central, secure document management solution is also making it much easier for other teams to collaborate. For example, our product and quality teams can now work together on shared documents in the cloud, facilitating full transparency and always up-to-date status information.

              Planning for an AI-powered future

Looking ahead, we’re excited to build on what we’ve achieved. We plan to expand our OpenText solutions to our international business units, and to explore how we might use generative AI technology to automate more tasks and unlock productivity improvements.

To learn more about how we worked with OpenText to boost the efficiency of document-driven business processes, read our case study.

July 2024: What’s new in OpenText Aviator Search CE 24.3

Business users have a growing need to rapidly obtain direct answers from their enterprise content in order to complete their work. With no natural language search available across content, they are unable to easily search all content sources and obtain accurate answers fast. Instead, they spend cycles on repetitive tasks or waste hours trying to locate the content they have already been working on. In some cases, upgrading their content platform to a recent version is not a commitment IT has made, yet the business wants to leverage GenAI now.

Aviator Search can now offer a wider reach to your existing data outside of your OpenText platform, allowing you to search through enterprise data securely and across all repositories and data types (structured or unstructured, text, social). This new GenAI solution empowers organizations to untap the rich knowledge and connections hidden in their content.

The Aviator Search 24.3 release includes various functional and performance improvements, new connectors, file format support, and many other additions.

The main improvements in version 24.3 are listed below:

Simple Admin UI for managing ingestion workflows

              • Customer admins can start/stop an ingestion workflow, as well as delete a repository or define new one.

Q&A on Teams chats and recorded meetings

              • Customers can do Q&A on the transcripts of meeting recordings and chat documents. Customers can also view the recording in an in-app viewer.

              • All pronouns and references in the questions are resolved and a rephrased question with resolved pronouns is shown to the end user to have more clarity on what question is being answered by Aviator Search.

              Focused investigation

Unlocking Opportunities in the Financial Services segment https://blogs.opentext.com/unlocking-opportunities-in-the-financial-services-segment/ Thu, 24 Apr 2025 12:47:08 +0000 https://blogs.opentext.com/?p=999308151 This is an image of a group of skyscrapers with a camera angle looking up to the sky.

The Financial Services industry is ripe with untapped potential for Independent Software Vendors (ISVs) looking to expand their offerings and impact. As this traditionally stable sector faces rising pressure to become more dynamic, customer-centric, and agile, ISVs are in a unique position to deliver innovative, tailored solutions—and become part of a joint journey with their clients and prospects.
Driven by digitally savvy consumers, increased competition from FinTechs, and the demand for always-on, personalized services, financial institutions are accelerating their technology adoption. But this shift comes with strict requirements around security, compliance, and governance, creating both challenges and significant opportunities for ISVs.
With the support of OpenText’s OEM Solutions portfolio, ISVs can easily and quickly embed powerful, enterprise-grade capabilities into their financial services focused applications—enhancing value, accelerating go-to-market strategies, and helping clients Banks, Insurance companies, Investment firms and others with confidence and security.
Here are four key areas where ISVs can make an immediate impact within this industry:

              1. Streamlining Document-Centric Workflows
Manual document handling continues to slow down operations across the financial industry. From loan applications to client onboarding and insurance claims, paperwork remains a major bottleneck and although most companies have implemented processes and functionalities to accelerate the processing of documentation, there is still a long way for them to fully embrace the benefits of automatic and digital-first solutions that can help them even further.
With OpenText™ Capture and Intelligent Document Processing , ISVs can embed advanced OCR (optical character recognition) and data extraction capabilities directly into their applications. This transforms paper-based and image-heavy processes into streamlined, automated workflows—turning unstructured content into structured, usable data in real time.

By integrating OpenText™ Capture, ISVs can offer clients:
              1. Faster credit evaluations
              2. Seamless onboarding experiences for new clients
              3. Accurate, AI-powered data recognition from IDs and documentation provided at time of applications
              4. Reduced manual data entry and human error

              2. Enhancing Compliance and Accuracy with Intelligent Document Processing
In financial services, compliance is non-negotiable. Regulatory bodies demand strict controls over how data and documentation are handled, stored, and tracked.  Even internal business units within these institutions demand internal teams to find a solid way to process documentation in such a way that ensures protection from falling into liabilities, legal action or affecting their reputation.
OpenText™ Capture uses AI and machine learning to automatically classify, tag, and organize documents based on regulatory rules. By embedding this functionality, ISVs can help their clients stay audit-ready—reducing risk and ensuring data governance is built into every process.

Benefits for ISVs and their clients include:

              1.Automated regulatory compliance workflows
2.Accurate data capture with full traceability
              3.Secure archiving and retention policies
              4.Reduced exposure to regulatory fines

              3. Turning Data into Actionable Offers with Predictive Analytics
Customer data is an untapped goldmine—if you know how to harness it. One of the biggest challenges for financial institutions is turning fragmented data into targeted, actionable insights that drive engagement and growth. If you think about it, Financial Institutions manage massive amounts of data across their organizations, whether it is credit initiation information, transactional records, claims and investment historical transactions, interaction history via contact centers. digital channels and at branches. This means that making sense and generating value of such a large amount of information can be problematic and, let’s be honest, quite complex.  But it doesn’t necessarily need to be that way.
OpenText™ Analytics Cloud solutions, also available via the OEM portfolio, enables ISVs to build powerful analytics features into their client’s platforms—helping clients consolidate data silos and uncover key trends in customer behavior, churn prediction, and cross-selling opportunities.

Data Lakehouse & Analytics as well as Business Intelligence, Visualization and Reporting solutions are the core foundations of solutions ISVs can build and help clients achieve:

1.A 360° view of customers across all services
2.Predictive modeling for churn and acquisition
3.Automated report generation for actionable decision-making
              4.Up to 70%+ accuracy in cross-sell predictions
5.A measurable increase in per-customer profitability

              4. Elevating Customer Engagement with Personalized Communications
In today’s market, customer experience is the new currency. Financial institutions want to build meaningful, consistent, and personalized engagement across channels as a way to better manage relationships with clients and better understand their needs. The presence of multiple channels such as in person, phone calls, e-mails, social media, and several other digital channels, makes the process quite complex, but not when technology can be leveraged to drive a new and improved engagement experience—and ISVs can help them do just that.
Through OpenText™ Experience Cloud, ISVs can embed tools like OpenText™ Contact Center Analytics, OpenText™ Digital Fax Solutions, OpenText™ Core Messaging, and more to help clients communicate more effectively with their customers—wherever they are, and however they prefer. As an example, an Insurance Broker can be ready to reach out to customers at the time of relevant and important milestones, such as the purchase of a property and not only congratulate them for the purchase, but rather provide additional critical information that can elevate the whole experience and generate higher engagement. Providing tips, additional information on related services and even providing access to workshops and webinars related home improvement, can indeed make a substantial difference when personalizing and building meaningful relationships.

There are several benefits of OEM-ing the services of the Experience Cloud Solutions, but some of the most relevant are:

              1.Personalized and timely client communications
2.A quiet seamless creation of Omnichannel engagement strategies
              3.AI-powered content recommendations
4.Scalable personalization using OpenText Experience Aviator – via the use of generative AI

All the capabilities highlighted on this document, can help financial institutions transform customer interactions into loyalty-building experiences—something ISVs can deliver as a turnkey enhancement.

              The Takeaway for ISVs
Financial institutions are actively seeking innovative solutions that solve complex, real-world problems—but they don’t want to build them from scratch. This is where ISVs, backed by OpenText OEM Solutions, can shine. By embedding ready-to-use, enterprise-grade functionality, ISVs can:

              -Speed up product development
              -Differentiate their offerings
              -Ensure compliance and scalability and
-Unlock new market opportunities in banking, insurance, and fintech

The demand is there. The pain points are real. And the tools to help are ready.

Partner with OpenText OEM Solutions to help financial institutions navigate digital transformation—smarter, faster, and more securely. For more information, visit our website or contact us at oem_global_sales@opentext.com

Streamline procure-to-pay with intelligent document processing solutions https://blogs.opentext.com/streamline-procure-to-pay-with-intelligent-document-processing-solutions/ Tue, 25 Mar 2025 14:00:00 +0000 https://blogs.opentext.com/?p=999307556 Person typing on laptop with invoice reflected on screen.

In today's fast-paced business world, efficiency and accuracy in financial processes are crucial. The procure-to-pay cycle, which includes everything from procuring goods and services to making the final payment, offers significant improvement opportunities through intelligent document processing (IDP). By using advanced technologies like AI and machine learning, intelligent document processing solutions transform the procure-to-pay process to enhance operational efficiency, reduce errors, and free up valuable resources.

The challenges of traditional procure-to-pay processes

Whenever a customer orders goods or services, two worlds meet: The customer’s system and the vendor’s. Both use their own material numbers and only the vendor has full insights into material availability and delivery options. To synchronize expectations, the customer and vendor exchange multiple documents.

Traditional procure-to-pay processes often rely on manual, paper-based transactions. These methods waste time and lead to errors and inefficiencies. Manual invoice processing, for example, leads to payment delays, discrepancies in financial records, and increased operational costs.

How intelligent document processing solutions transform the procure-to-pay process

Intelligent document processing solutions solve these challenges by automating the capture, classification, and extraction of data from various documents involved in the procure-to-pay cycle. Here’s how intelligent document processing (IDP) revolutionizes the procure-to-pay process:

              1. Automate data capture and classification: IDP solutions like OpenText™ Capture and  OpenText™ Core Capture automatically capture data from invoices, order confirmations, advanced shipping notifications (ASN), delivery notes, and other relevant documents. This automation reduces the need for manual data entry, minimizes errors, and speeds up the process.

              1. Enhance data accuracy and compliance: By using AI and machine learning, IDP ensures accurate data extraction and classification. This accuracy is crucial for maintaining compliance with financial regulations and internal policies.

              1. Improve supplier relationships: Faster and more accurate processing of invoices and payments leads to better relationships with suppliers. Timely payments and efficient handling of discrepancies enhance trust and collaboration.

              1. Gain real-time visibility and insights: IDP provides real-time visibility into the entire procure-to-pay process. This transparency allows organizations to monitor transaction status, identify bottlenecks, and make informed decisions quickly.

              1. Support with scalability and flexibility: IDP solutions scale and tailor to meet the specific needs of an organization. Whether handling a high volume of transactions or integrating with existing ERP systems like SAP, IDP offers the flexibility required to adapt to changing business needs. For example, OpenText™ Vendor Invoice Management for SAP® Solutions fully integrates with SAP and provides pre-configured solutions for the most common SAP document types, such as invoices, sales orders and delivery notes.

Real-world impact of intelligent document processing solutions

Many organizations have successfully implemented intelligent document processing solutions to streamline their procure-to-pay processes. Here are a few notable examples who use OpenText IDP solutions:

              • Foodstuffs North Island: This grocery co-operative in New Zealand digitized its invoice processing, achieving up to 90% automation.

              • Sysmex Europe GmbH: A leading healthcare company, Sysmex Europe improved budget control, reduced costs, and increased efficiency, and benefited from the simplified user interface through SAP Fiori applications.

              • Solarisbank: This financial technology company achieved an 81% faster preparation for supplier payment runs and a 2-day reduction in month-end closing activities by reducing manual invoice processing tasks in SAP S/4HANA®.

              • Alfanar: A construction and engineering firm automated the processing of over 6 million documents annually, eliminating payment delays, improving reporting, and boosting overall efficiency."

              • Innogy SE: A European energy company, Innogy automated invoice approval routing, reduced fraud, and eliminated the need for physical signatures, significantly streamlining their supplier invoice processing.

These examples highlight the tangible benefits of adopting IDP to automate procure-to-pay processes, showcasing improvements in efficiency, accuracy, and overall operational excellence.

SCHOTT creates a polished accounts payable process https://blogs.opentext.com/schott-creates-a-polished-accounts-payable-process/ Wed, 22 Jan 2025 17:32:34 +0000 https://blogs.opentext.com/?p=999306373 SCHOTT creates a polished accounts payable process

At SCHOTT, we have a heritage of more than 140 years in reinventing glass to make life better. Today, our 17,100 global employees leverage tech-material expertise and unique know-how in processing and technology to create products that support a wide range of industries: from CERAN home appliances to architecture, healthcare, automotive, and high-tech manufacturing.

To support our operations, we’ve built up an extensive supplier base. Keeping our business running smoothly depends on our ability to process thousands of supplier invoices every month, accurately and on-time. Because of our fast rate of growth, the number of invoices we receive is also rising. In fact, we’ve seen our supplier invoice volumes more than treble in recent years.

If it hadn’t been for our work with OpenText, this increase in workload would have been a big issue for us. Fortunately, we were more than ready for the challenge. That’s because several years earlier we started out on our journey to bring digitization and automation to accounts payable (AP) processes at SCHOTT.

              Starting the AP automation journey

Our journey began at our shared services center, which is responsible for processing supplier invoices on behalf of all our global business units. In the past, our AP teams relied primarily on manual, paper-based processes, which included manually re-keying invoice data into our SAP systems. It was very time-consuming, and there was little time available for our teams to spend on other work.

As the number of inbound invoices started to trend sharply upwards, we knew we’d either need to either significantly increase our AP headcount or find a much more efficient approach to invoice processing.

That’s when we made the decision to deploy OpenText Vendor Invoice Management for SAP Solutions. The solution ticked off all the requirements that mattered most to us, including tight integration with our SAP business systems. We’d already been using OpenText solutions to archive our SAP data for several years, so we knew that we could count on OpenText for reliable solutions and strong technical support.

              Processing invoices 99% faster

At first, we only used Vendor Invoice Management to process invoices from our suppliers in just a few countries; however, after we saw how much time we were saving, we decided to extend the solution to cover our global businesses too—35 countries in total.

Working side-by-side with OpenText Professional Services, we extended and enhanced the solution. As well as building automated invoice processing workloads for our international businesses, we deployed OpenText Capture for SAP Solutions to gain more control, save costs, and boost the recognition rate for data capture.

The project was a big success. Thanks to Vendor Invoice Management and Capture, we can process bigger volumes of invoices at our service center faster than ever. Before OpenText, it used to take around five working days to post an invoice. Today, our AP team can do it an average of five minutes: over 99% faster.

              Keeping headcount flat

Fast, streamlined processes have only become more important for us over time. When we first started working with OpenText, we were processing one third of the invoices we now process each year. By empowering our AP professionals with digital workflows, we can handle that massive increase in workload while keeping headcount in our shared service center flat.

The OpenText solutions are also helping us to foster an engaging working environment for our teams. Now that we’ve done away with repetitive manual data-entry, there’s more time for our AP teams to focus on value-added activities. We’ve achieved great results with OpenText, but there are so many opportunities to do more, like automating more invoices.

At SCHOTT, we believe that everyone can make a difference. Through our partnership with OpenText, we’re putting our philosophy into practice. To learn more about how we are working with OpenText to enhance our accounts payable operations, read our case study.

How AP automation is helping LuLu Group International deliver seamless shopping experiences https://blogs.opentext.com/how-lulu-group-international-delivers-seamless-shopping-experiences/ Wed, 08 Jan 2025 16:24:55 +0000 https://blogs.opentext.com/?p=999305402 LuLu Group

LuLu Group International has a wide-ranging business portfolio, but retail is the cornerstone of what we do. Around the world, we have over 260 stores with a combined floor area of more than 1.1 million square meters, offering high-quality products to millions of customers every year.

We’ve placed the customer experience at the heart of our long-term growth strategy. Our goal is to deliver smooth, high-quality journeys wherever our customers shop: from our e-commerce sites to our brick-and-mortar stores.

To deliver sparkling customer services, it’s crucial to keep our shelves stocked. To make that process run smoothly, our in-store teams work behind the scenes to receive goods from our network of global suppliers. With over 14 million stock-keeping units, keeping up with a continual flow of supplier deliveries is no easy task.

In the past, our goods-receiving process was extremely paper-heavy. Suppliers would bring paper invoices to the goods-receiving areas of our stores, which our teams needed to manually match to the corresponding purchase orders before they could accept the deliveries. The whole process was very time-consuming, which often meant there was a significant lead time in getting new products on the shelf.

              Reducing reliance on paper

To make the goods-receiving process flow more quickly and smoothly, we realized that we needed to take a fresh approach to accounts payable (AP). If we could remove the need for our teams to spend time leafing through paper invoices, we knew we’d unlock big time-savings that would ultimately help us get products ready for sale faster.

Our search for an AP automation solution led us straight to OpenText. As well as being leaders in the information management space, OpenText has a very strong strategic relationship with SAP—the technology platform our business is built on. When we evaluated the capabilities of OpenText Vendor Invoice Management for SAP Solutions and OpenText Intelligent Capture, we knew we’d found the solution we were looking for.

              Transforming AP processes

Using the OpenText solutions, we’ve transformed our AP process. Today, our suppliers send us their invoices in advance of delivery. We use Intelligent Capture to automatically extract the necessary data from the documents and then use Vendor Invoice Management to match each invoice to its corresponding purchase order in SAP.

When suppliers deliver to our stores, our goods-receiving teams scan the invoices using a handheld device. If the solution can validate all the information is correct, our teams get instant confirmation that they can accept the delivery. For compliance purposes, we store copies of all paper invoices off-site and use OpenText Archive Center for SAP Solutions to retain a copy of the invoice data.

Going live in just six months

By working closely with experts from OpenText Professional Services, we went live with our new digital AP process in just six months—a big achievement for a project considering the large number of stakeholders involved. At every step, OpenText helped us to engage with our in-store teams and suppliers and ensure the new workflow would meet their needs.

It’s now been five years since we first started our collaboration with OpenText, and the results we’ve achieved are outstanding. Our digital workflow for AP enables us to process invoices with a 70% straight-through processing rate. When you consider that we receive nine million invoices a year, that level of automation translates into massive time-savings for our teams.

Most importantly, the OpenText solutions are enabling us to get new products on our shelves faster than ever. We’ve accelerated our goods-receiving processes by an estimated 50%, which helps us to ensure our customers can always find their desired products when they visit our stores.

Las Vegas is a city built on bets, where every decision carries a risk, but with the right strategy, rewards can be transformative. This November 19-21, OpenText World 2024 will bring that same spirit of high-stakes decision-making to the future of supply chains and business networks. The stakes have never been higher for businesses operating in a rapidly evolving global market, and our Business Network track is your opportunity to learn how to play your cards right.

What are you betting your supply chain on?

In today's world, supply chain disruptions are no longer a question of if—they're a matter of when. Whether it's due to geopolitical issues, shifting consumer demands, or climate impacts, every company is facing new challenges. The businesses that survive and thrive are those that can anticipate and adapt quickly.
