Every day, dm opens its doors to more than two million customers in Germany. We also have an extensive retail footprint across Europe, offering health and beauty products through 4,000 stores across 14 countries.

At dm, employee wellbeing is part of our DNA. We’re always looking for new ways to empower each of our 89,100 employees to make dm an even better place to work. To put that philosophy into action, we give people in back-office teams a chance to experience customer-facing roles in our retail stores.

Some years ago, I took time out from my enterprise content management (ECM) duties to work at one of our stores. It was a brilliant opportunity to see first-hand how our teams use our digital systems to support their work.

Recognizing opportunities for innovation

My time working in-store gave me many valuable new ideas about how we could improve the employee experience and reduce manual workload for our colleagues, so they can spend more time on value-added customer service interactions.

For example, our in-store teams used to manually collate and send paper documents such as delivery receipts and supplier invoices from our stores in Germany back to our headquarters. Then, colleagues in our central back-office departments would manually re-key the information into our SAP systems to make sure key data was available for other business processes. It was time-consuming, repetitive work.

There were also challenges with document-driven processes in other parts of the organization. Previously, some teams relied on a mixture of shared folders, email inboxes, and phone calls to collaborate on tasks. This led to challenges in terms of transparency and insight into status information, making it difficult to respond to specific requests. Version control was also tricky, and it was hard to avoid duplication of effort.

In total, we store around 80 million documents across the business, and that number is growing steadily year-on-year. To take control of that data, we looked to consolidate and streamline document management across the business.

Taking a fresh approach to document management

Around the same time, we were embarking on another digital transformation project. One of the main goals of the project was to move our country-specific instances of SAP ERP to a single global SAP Retail solution. This transformation will pave the way for our migration to SAP S/4HANA. The driving motivation for all of this was the harmonization of processes and maintaining a future-proof technology platform. It was the perfect opportunity to modernize our approach to document management.

When we evaluated the capabilities of OpenText Content Management for SAP Solutions and OpenText Core Archive for SAP Solutions, we knew that they would be an excellent fit for our needs. Both solutions can be tightly integrated with SAP, including SAP Fiori mobile apps. And with OpenText Content Cloud, we can enhance our document management capabilities while reducing maintenance and management workload.

Harnessing cloud solutions and industry best practices

Working with OpenText Professional Services and a consulting partner allowed us to implement the new solutions very quickly and efficiently. By using tools and accelerators from OpenText FasTrak Migration and FasTrak Move & Modernize, we consolidated over 80 million existing documents on the new platform on time and within budget. That was a big achievement for such a large and complex migration project.

By leveraging the integration capabilities of our OpenText and SAP solutions, we’ve transformed the way we store, manage, and archive documents across our business. For example, our in-store employees now use an SAP Fiori app to take photos of delivery receipts and supplier invoices from their mobile devices. Using digital workflows, we can capture the relevant data and bring it into SAP Retail in real time. Not only are we eliminating manual, repetitive work, but we’re also making information available to the business faster than ever.

Replacing information silos with a central, secure document management solution is also making it much easier for other teams to collaborate. For example, our product and quality teams can now work together on shared documents in the cloud, facilitating full transparency and always up-to-date status information.

Planning for an AI-powered future

Looking ahead, we’re excited to build on what we’ve achieved. We plan to expand our OpenText solutions to our international business units, and to explore how we might use generative AI technology to automate more tasks and unlock productivity improvements.

April 2025: What’s new in OpenText Core Content Management CE 25.2

This release includes the launch of the new JATO user experience, which delivers a refreshed, modern user interface. The new JATO UX allows customers to tailor the UX to their preferences, including selecting from light and dark themes, with additional themes to come. A preview of JATO is offered in CE 25.2, and the full JATO UX is expected in release CE 25.3. Other new features include the launch of a new advanced workflow modeler that enables developers to build more complex workflows incorporating integrations with 3rd party applications and OpenText APIs, multiple decision points, delayed actions, posting notifications to 3rd party applications such as Slack or Teams, as well as custom scripting. These can be combined with the existing no-code business workflow modeler to deliver hybrid workflows, enabling OpenText Core Content Management to support more extensive workflow requirements than ever before. This release also includes support for conversational search for related Business Workspaces using OpenText Content Aviator, enabling users to ask questions about content stored in several related Business Workspaces simultaneously. New one-touch Workspace migration ensures that changes made to Business Workspace types or templates are applied automatically to existing Business Workspaces. The Outlook add-in now allows quick access to locations frequently used for saving emails and attachments. Core drive now enables syncing content from the favorites folder to desktop. In addition, dictionary support for picklists is enabled, which allows defining and managing dictionaries for picklists, and reusing them across content metadata. 

What’s new in OpenText Core capabilities for CE 25.2

OpenText Core Process Automation 

Elevate productivity and accuracy with enhanced OpenText Core Capture integration 

OpenText Core Process Automation CE 25.2 now features a deeper integration with OpenText Core Capture to automate ingestion and streamline new process creation. Using the OpenText Core Capture connector, this integration automatically creates a process based on ingested data from common input channels like emails and file uploads. Process fields are auto populated with relevant information and supporting documents are directly attached to the relevant workspace, eliminating manual effort and reducing errors. This feature removes bottlenecks caused by manual data entry, improves accuracy, and increases consistency across workflows. It will boost productivity for knowledge workers in sales, finance, and operations handling high volumes of time-sensitive information from multiple sources by automating intake and speeding up process resolution time.  

OpenText Core Signature

Accelerate the signature process for grouped documents  

OpenText Core Signature CE 25.2 introduces a “Packages” feature that streamlines signing multiple documents. Customers can group up to five documents into a single package and send the package for digital signature. This feature reduces turnaround time by eliminating the need to send and track documents individually. This capability also improves visibility with a single view of all documents in the package and ensures consistency across related files.

February 2025: What’s new in OpenText Core Content Management CE 25.1

This release includes the launch of two new plans: OpenText Core Content Management Express and OpenText Core Content Management Premium. OpenText Core Content Management Express embeds OpenText Content Aviator, a GenAI assistant, as an out-of-the-box feature at no additional cost. OpenText Core Content Management Premium also includes AI-powered SaaS content management along with digital capture and signature capabilities. Both new plans enable customers to manage the full lifecycle of their content with a SaaS solution more easily than ever before. In addition, this release includes two new business scenarios, bringing the total number of predefined configurations available to six. Customers leveraging OpenText Content Aviator can now enable chart generation through interactive chat. SAP DMS users can now integrate SAP DMS documents into OpenText Core Content Management Business Workspaces. Users of the Outlook add-in will see suggested Business Workspace and folder locations, simplifying the process of filing emails. A new review task is enabled in the OpenText Core Content Management workflow feature to facilitate collaboration. Customers can generate a detailed content audit log report to track how and when content is used and can also enable a new notification to receive in-app updates on selected documents and folders.

What’s new in OpenText Core capabilities for CE 25.1 

OpenText Core Process Automation 

Custom connector for seamless information exchange 

Enterprise processes often span multiple business applications like CRM and ERP. Until now, users had to manually update data in both Core Process Automation (Core Case Management) and the corresponding application, leading to inefficiencies and errors. OpenText Core Process Automation CE 25.1 enables customers to build a custom connector for real-time data exchange with enterprise applications, eliminating data silos. This feature automates manual data entry, synchronizes process information across applications, and reduces context switching. Information updates made in business processes instantly reflect in all connected applications and vice versa, ensuring consistency and accuracy. 

OpenText Core Signature  

Email alias for a streamlined experience  

The new email alias for signature requests feature enhances privacy and streamlines communication. Tenant administrators can now configure an alternate email address (alias) for users within their tenant. Instead of using their primary email address, users can send signature requests through the assigned alias. 

All relevant notifications are directed to the email alias, ensuring better privacy and monitoring.

November 2024: What’s new in OpenText Core Content Management CE 24.4  

OpenText Core Content Management now offers a library of business scenarios for common customer use cases. These predefined, out-of-the-box configurations reduce the time required to configure the solution. Business scenarios for sales, team collaboration, product management, and project management are now available, with additional configurations to come in future releases. In addition, this release includes enhancements for several capabilities. Customers who have enabled OpenText Content Aviator can now search multiple Aviator-enabled Workspaces or documents simultaneously. The OpenText Core Content Management integration with Google Workspace now supports Gmail, enabling users to save emails as well as attachments directly into OpenText Core Content Management. The OpenText Core Content Management integration with Outlook now allows users to auto-generate and insert summaries of selected documents or Workspaces directly into emails, while also sharing a link to the source document. The Microsoft Teams integration now enables previews of Teams files within the native OpenText Core Content Management viewer.

What’s new in OpenText Core Process Automation CE 24.4 

Ready-to-use templates for quick and effective process modeling 

OpenText Core Process Automation CE 24.4 (Core Case Management) now offers ready-to-use templates designed to align with industry best practices, making it easier to quickly model processes for Sales, HR, Procurement, IT, and Legal use cases. 

These templates empower business users to customize workflows and boost productivity without requiring IT support. Fully supported and regularly updated with each software release, these templates help streamline both simple and complex processes, allowing IT to deploy solutions faster and expediting time to value. 

Customers can choose to build case applications using one of the available out-of-the-box (OOTB) templates or create applications from scratch. Additionally, existing OpenText Core Content Management customers can further enhance their experience with starter packs and proven best practices. 

What’s new in OpenText Core Signature CE 24.4 

Enhancement for a streamlined, secure signing experience 

Password attempts: With the latest update, OpenText Core Signature CE 24.4 now strengthens document security by limiting password attempts to five. After five failed attempts, the document automatically locks, and only the signature initiator can unlock it to proceed with the signing process.  

This update not only enhances security by preventing unauthorized access to documents, but it also improves server performance by avoiding an overload of endless password attempts. The document owner gains greater control and visibility, as only they can unlock the document after five failed attempts, ensuring a smoother and more secure signing experience.

The company’s wholly owned subsidiary, The Hawthorne Gardening Company, is a leading provider of nutrients, lighting, and other materials used in the indoor and hydroponic growing segment. 

Over time, we had built a complex web of application integrations and had gradually acquired seven different content management solutions—some of which were no longer supported. Though functional, we were without a unified platform for records, compliance, capture and workflow; plus, our administration efforts and operating expenses were rising. With the imminent prospect of migrating to SAP S/4HANA, we needed to find a way to streamline operations, improve enterprise workflow and cut costs. 

Designing a future-ready approach

Our first step was to ask our business partner and systems integrator, 4Matrix, to research and propose solutions. The selection criteria included alignment with our strategy to shift to cloud and software-as-a-service (SaaS) solutions whenever possible, cost reduction, and meeting our timelines to be ready for the SAP S/4HANA transformation.  

From a business perspective, we wanted to boost user productivity by reducing the time people spent hunting for information while providing a 360-degree view of content in a single interface. Additionally, a unified management solution would improve our information governance, particularly for corporate records. At the time we were spending north of half a million dollars a year on the existing apps, which gave us a clear cost-saving target. 

Planting the seeds for tomorrow

OpenText™ Core Content Management aligned with our criteria and offered a rapid purchase and roll-out timeline. The sooner we could eliminate legacy applications and embed a streamlined solution, the better. 

In just eight weeks, OpenText™ Professional Services completed the implementation, migrated the existing content and archives, and enabled single-sign-on capabilities (our previous systems required multiple sign-ons). We also deployed OpenText™ Core Capture for intelligent document processing, which ingests documents and uses artificial intelligence and machine learning to automate file classification and data extraction, all of which reduces the internal friction of document management. 

Enabling digital transformation

With the upcoming SAP S/4HANA transformation in mind, we also deployed OpenText™ Archiving and Document Access for SAP. This solution supports all SAP interfaces and archiving models for SAP ECC and SAP S/4HANA, which puts us in exactly the right place for our future plans. 

Because we did not have the in-house expertise to migrate to OpenText Core Content Management, we relied on the responsiveness of OpenText and their team.  As soon as we were ready, we retired the seven previous applications—delivering immediate and significant savings. 

Preparing for the AI revolution

Overall, the transition has been a success. On the SAP side, we have completed our consolidation program, and with OpenText Core Content Management and OpenText Core Capture, we have streamlined and strengthened our approach to document management. Eliminating unsupported apps has also enhanced our security, reduced our workload, and cut our costs. 

At the practical level, we have restructured our processes and extracted and added metadata to thousands of documents to make them searchable—features that the business units, particularly legal, value greatly. Now that we have shown quick wins, more departments want to come on board, and we’re already looking at other business units where OpenText Core Content Management can add value. 

We know the future will include more automation and machine learning. With OpenText Core Content Management and OpenText Core Capture, ScottsMiracle-Gro will be able to use AI to summarize documents, collate reports, and extract data, enabling our people to spend more time on innovation.

The installation process in OpenText Fax 24.4 has been significantly refined. The typical client installation no longer relies on Microsoft Outlook, simplifying the deployment process. Moreover, the updated Print-to-Fax Web application can be either pushed directly to users or installed by them, providing added flexibility for IT departments.

Enhanced database and connectivity options

Administrators will appreciate the new features in database management.
