OpenText™ Experience Cloud

In this release, organizations managing extensive digital asset collections or implementing enterprise-wide digital asset management (DAM) systems now have a powerful tool to unlock the full value of their rich media libraries. Powerful new search is provided by integrating OpenText™ Digital Asset Management (DAM) natively with OpenText™ Knowledge Discovery (IDOL). The new search adopts both advanced retrieval augmented generation (RAG) and AI-powered search to transform how users access and utilize assets.

By marrying these two solutions together, enterprises struggling with inefficient asset discovery, inconsistent metadata tagging across teams, and unnecessary duplication of content creation or procurement, can take advantage of the tool’s natural language search capabilities, powered by secure and private AI, to quickly locate the right assets - even in large libraries where metadata may be incomplete or inconsistent.

To further increase IT visibility for better incident response and faster mean-time-to-repair (MTTR), we have bolstered the discovery capabilities in our vendor-neutral configuration management solution, deployable as SaaS, on-premises, or in the cloud.  

Advanced Network Discovery for OpenText™ Universal Discovery and CMDB delivers deep, comprehensive visibility into how physical, virtual, and software-defined networking assets are configured. Now IT service management, operations, and network management teams can fully understand how network devices and their configurations support business service delivery - an area typically lacking detailed information from most CMDB discovery methods. The result? Faster MTTR and minimized service interruptions from networking changes.  

CE 25.1 also introduces better visibility into operational technology (OT) and internet of things (IoT) devices by importing configuration data directly from Microsoft® Azure Defender. This ability gives enterprises extended insights into OT/IoT devices without requiring additional discovery tools or compromising OT/IoT security airgaps by deploying probes.

Designed to simulate real user behavior and provide robust client-side metrics, TruClient 2.0 puts flexibility, control, and security at the center of the performance testing process. 

Most notably, this release allows browser decoupling, which empowers users to independently manage browser versions, enhancing security and eliminating the need for frequent updates or patches. The addition of Linux® support expands deployment options, while reduced resource requirements streamline operations with a lighter testing footprint. As a result, TruClient 2.0 continues to be a valuable tool for testers with the need to perform efficient, secure, and flexible performance testing for optimized testing process for a seamless experience and greater control over testing environments - a strategic move to future-proof performance engineering.

Advanced Network Discovery for OpenText™ Universal Discovery and CMDB delivers deep, comprehensive visibility into how physical, virtual, and software-defined networking assets are configured. Now IT service management, operations, and network management teams can fully understand how network devices and their configurations support business service delivery - an area typically lacking detailed information from most CMDB discovery methods. We've released numerous features and product updates in the last 12 months, along with hundreds of fixes, to enhance SAP SuccessFactors Extended ECM by OpenText and make it more flexible and performant for our clients. CE 24.4 includes not only these past improvements but also brings a brand-new list of features. Designed to reduce maintenance, enhance accessibility, and speed up HR processes, these updates will give HR professionals more time for strategic initiatives.

A new name for clarity

Before I start, we have an announcement which will simplify the product identity. OpenText has renamed this solution "OpenText™ Content Management for Human Resources" for OpenText contracts. For new customers it will make it easier to quickly understand and identify the product’s purpose. However, SAP contract users will continue to see and reference the product as "SAP SuccessFactors Extended ECM by OpenText." Rest assured; continuity remains a priority.

It was a privilege for OpenText to be a Gold sponsor and for me to attend the SAP SuccessConnect event in Lisbon at the end of October 2024. Throughout SuccessConnect we heard how AI-driven innovation is helping to solve workforce and business challenges, and when I consider the many ways that AI and automation enhanced business processes were delivered in 2024, it seems to me OpenText Content Management for Human Resources CE 24.4 is continuing the theme.

Automated HR business user experience

Summaries across multiple candidate and employee records

Leveraging generative AI, HR teams can now apply summaries across any number of candidate and employee files and folders. This feature enables fast comparisons of applications to speed up the application review process, helping recruiters make quicker, more informed decisions. All users need to do is "Ask" to find employees who do not have an NDA. No more clicking around and searching to find that nugget of information. This could be used to instantly identify risk in a business acquisition by evaluating each employee's file as part of a business merger to find particular contract clauses to improve governance. Previously this level of analysis would take days of precious time and resources.

Automation of offboarding to cut down on administrative tasks

Now, when an employee leaves the company, permissioned access can be changed immediately using a straightforward integrated and automated procedure.

This will improve the offboarding process for retired, terminated, or departed employees. The reduction of high-volume manual tasks for large retail or service companies with high employee turnover will be invaluable. In addition to allowing onboarding to quickly redistribute user licenses to new hires, this automated background synchronization job will help HR administrators stay on top of offboarding ‘paperwork’.

Enhanced employee mobile experience

Digital signatures and multi-signee documents

For global HR teams hiring across regions, supporting diverse digital signature authentication is essential to the security of the organization. Now, customized authentication rules ensure a seamless signing experience, allowing smoother cross-border hiring process. With HR teams that can be located anywhere in the world and hire people from all over the world, this improvement also increases compliance.

Customizable Mobile App interface

Designed with deskless workers in mind, this release allows HR business users to simplify the HR Mobile App experience. By customizing the App to show only essential features, we’re making mobile navigation easier for employees, enhancing usability and efficiency.

Greater user accessibility

Streamlined document generation

With the addition of an employee communication widget on the SuccessFactors Employee Central Home page, users can generate documents easily, without custom setups. This update reduces maintenance requirements and standardizes processes, leading to faster, more reliable communication.

Self-service reporting

To enhance project delivery, we now provide real-time access to document generation status. Certified consultants can address issues quickly, keeping configurations on track and reducing potential delays.

Looking ahead

During our recent OpenText customer roundtable on 31st October 2023, a dozen HR technology professionals delved into the achievements and hurdles of integrating OpenText™ Extended ECM for SAP® SuccessFactors® with their SAP SuccessFactors® suite and other supporting HR applications. The result? Many success stories were shared, balanced with a few challenges that other HR business users should be aware of.

A Paperless Revolution: Complete digitization emerged as a game-changer: reducing risks, eliminating paperwork, and providing universal access to employee documents. When prioritized, a paperless employee eFile creates efficiency and accessibility around document related HR processes.

True integration proved pivotal, creating a seamless experience for employees and HR professionals to easily access required documents.

The Illusion of Singularity: The seamless transfer of information, such as resumes, directly from SAP SuccessFactors into the OpenText solution, emerged as a benefit theme discussed by participants. This not only creates the illusion of a single solution but also simplifies the flow of work for HR professionals. By seamlessly integrating two critical platforms, they were able to empower their employees and management with a holistic view of their HR landscape.

Empowering Employees: The document generation process, particularly during the Covid-19 pandemic, was a significant highlight. Allowing employees to generate their own verification of employment documents provided significant value and time savings. The automatic generation of offer letters and other crucial documents helped HR to streamline people movement processes.

Electronic Signature Integration: Success with DocuSign integration resulted in streamlined workflows and added security and traceability to remote workers scenarios.

Challenges Explored

Partner Paradox: Embarking on the journey of digitizing HR processes comes with its complexities. Partnering with experienced experts is essential. This point was emphasized with warnings that an inexperienced partner could slow down configuration, increase costs and eventually impact the overall project. To make certain of a successful project, both a certified SAP SuccessFactors Partner and a certified Extended ECM for SAP SuccessFactors Partner must be aligned to your transformation program.

Crucial Role for Testing: Thorough testing was identified by participants as a critical aspect of any project. During implementation, extended testing of complex workflows could prevent bottlenecks and ensure processes flow smoothly. All new customers have an Onboarding Manager close at hand to help.
