Pitfalls of not implementing modern DevSecOps for secure software development and delivery  https://blogs.opentext.com/pitfalls-of-not-implementing-modern-devsecops-for-secure-software-development-and-delivery/ Tue, 29 Apr 2025 17:01:26 +0000 https://blogs.opentext.com/?p=999308250 devsecops/infinity loop with blue background

The complexity of modern software development demands a new paradigm. Traditional DevOps methods have served their purpose, but today, organizations need to level up the way they deliver software to stay ahead of the game. The never-ending friction between software security and speed of software delivery to meet the high demands of the business continue to grow. Next-gen AI-powered DevSecOps represents the next evolution—providing a balanced and strategic approach.

1. Poor insights and manual human tasks stifle innovation and increase costs.

Are you staying ahead of the curve by leveraging AI and automation to speed up development processes?

Developers are challenged to quickly innovate and meet the demands for higher software quality for the business. Accelerating the software development lifecycle (SDLC) can compromise security and increase errors that lead to delays and added resources and costs. Automated security testing enables frequent, reliable releases and provides key insights to reduce errors, helping teams keep up with demand, and organizations to maintain a competitive advantage by delivering software innovations quickly and securely.

The growing need for software quality collides with a shortage of skilled security test engineers and developers. Organizations are seeking AI-powered tools that automate testing and provide key insights enabling more efficiency and team collaboration, allowing developers and testers to work together more effectively, leading to more satisfied team members that produce better results.

Quality failures, whether functional, performance, or security based, create compelling events that can have ripple effects across pipeline processes. The shortage of skilled engineers and the reliance on manual testing that can be prone to human errors, highlights the need for AI-powered automation tools that automate testing and enhance quality management.

Accelerate speed-to-value for the latest innovations and enhance quality for the business with predictive AI-powered insights to make smarter decisions, and automated security testing to speed up workflows. This can significantly help eliminate disconnected processes across the SDLC, enabling teams to better collaborate and deliver faster, despite shifting priorities and resource constraints.

New DevOps best practices are needed to help keep pace, saving time without sacrificing security, business, and technology coverage to detect and eliminate costly waste across your SDLC.

2. Threats are on the rise with AI-powered cyber criminals planning their next move on your software.

What’s your current security posture and how are you planning your next move?

An AI-generated cyber attack on an application is used to create sophisticated and adaptable malicious actions, often involving automated methods like generating personalized malware, or exploiting vulnerabilities in an app by analyzing user behavior and adapting attack strategies in real-time, making it significantly harder to detect and defend against compared to traditional cyber attacks.

Now more than ever, mission-critical security is the top priority, and with cyber threats continuously on the rise it has made a comprehensive DevSecOps approach essential. Organizations need to arm themselves with the right tools that embed security seamlessly into their pipelines to detect and resolve vulnerabilities early and are deep-rooted across processes and teams, ensuring fast, secure application delivery.

Compliance and threat protection are never ending. Missed vulnerabilities can lead to data breaches and costly fixes, and broken customer trust. Leveraging automated security testing, compliance checks, and continuous monitoring for early detection and remediation of vulnerabilities is a necessity to protect precious data in pre- and post-application production environments.

Enterprise-grade systems and processes are required for fast, frictionless security without sacrificing quality, and continuous security tools integrated across the SDLC, giving your developers and IT staff the confidence to build and deploy securely at every step.

Embedding AI-powered security and automated compliance checks helps fight fire with fire against data threats seamlessly across every development step—without creating bottlenecks or tradeoffs, transforming teams from vulnerability hunters into secure software creators.

3. Disconnected teams, tools, and processes kill software development velocity, performance, and time to value.

Are you managing all aspects of integration and simplifying for maximum results across teams?

Developers and administrators must find and fix security flaws at every stage of the software lifecycle. Siloed systems inhibit communication and slow collaborative work. Organizations must find a better way to connect with integrated developer environments, empowering developers to better collaborate and create secure software with ease. It also ensures that, once released, any issues can be caught and fixed quickly in post-production software environments.

DevOps tooling has matured, yet it remains fragmented across various tools and processes. Organizations are seeking unified DevSecOps platforms that integrate seamlessly, reduce complexity, and enhance quality across the SDLC. When business systems can’t keep pace, they need solutions that accelerate delivery and provide immediate value across their workflows and supporting teams.

Why cost-effective IT observability matters: OpenText’s approach to affordable monitoring at scale https://blogs.opentext.com/why-cost-effective-it-observability-matters-opentexts-approach-to-affordable-monitoring-at-scale/ Thu, 10 Apr 2025 22:20:23 +0000 https://blogs.opentext.com/?p=999307973 OpenText Observability -+ chart floating above laptop.”

IT observability costs are spiraling out of control. According to recent industry research, 98% of organizations experience unexpected cost spikes, with 84% believing they pay too much for their monitoring solutions. This financial pressure comes at a time when complete visibility across systems has never been more critical for maintaining reliable operations.

The observability cost crisis

Organizations face a difficult dilemma in today's monitoring landscape. Comprehensive visibility requires capturing and analyzing massive volumes of data—which have grown 5x over the past three years for the average company. Yet traditional observability platforms employ consumption-based pricing that creates unpredictable expenses as data volumes increase.

This financial reality forces IT teams to make problematic compromises:

  • 98% of organizations report limiting data collection
  • Teams must choose which systems to monitor, creating blind spots
  • Critical security and compliance information may be discarded
  • Root cause analysis becomes more difficult with incomplete data

These compromises ultimately undermine the core purpose of observability: providing complete system visibility for faster problem resolution.

OpenText's approach: Cost-effective observability at scale

OpenText™ has developed an observability strategy that focuses on affordability without sacrificing visibility. Our solution addresses the key challenges facing IT operations teams:

1. OpenTelemetry-based observability

OpenText Application Observability uses the OpenTelemetry standard to deliver logs, metrics, and traces for both cloud-native and traditional applications at a reasonable cost. This vendor-neutral approach enables portability across toolsets, expanding observability coverage without the vendor lock-in that drives up costs.

According to Travis Greene, OpenText's Sr. Director of Product Marketing for OpenText Observability and Service Management solutions.: "With Application Observability, IT admins have visibility into traces to find the module of code that's the culprit of an application issue. This empowers IT admins to provide vital context to the developer to ultimately solve the problem faster."

2. Domain-spanning visibility without cost penalties

Unlike siloed monitoring tools that force choosing between cost and coverage, OpenText’s observability platform provides a flexible observability toolset that detects and resolves performance issues across:

  • Cloud environments
  • On-premises infrastructure
  • Applications (cloud-native and traditional)
  • Network performance

This cross-domain visibility facilitates accurate root cause analysis and reduces mean time to repair (MTTR).

3. Affordable licensing models

OpenText recognizes that unpredictable costs create significant budget challenges. Their approach includes:

  • Transparent pricing designed to eliminate surprise bills
  • Flexible licensing that doesn't penalize data growth
  • Deployment options including SaaS, private cloud, or on-premises

The full-stack observability advantage

OpenText delivers comprehensive visibility across the entire IT estate:

Application observability

Using OpenTelemetry instrumentation, OpenText provides detailed visibility into application performance, allowing teams to visualize transaction dependencies, identify bottlenecks, and correlate logs to pinpoint issues.

Infrastructure observability

Teams can quickly identify causes and impacts of infrastructure problems across cloud and on-premises environments with guided troubleshooting that accelerates root-cause analysis.

Network observability

OpenText Core Cloud Network Observability discovers and monitors physical and virtual networks, delivering unified visibility into network performance—essential for maintaining service levels in hybrid environments.

Real-world benefits: Cost savings and performance gains

Organizations using OpenText's observability solutions report significant improvements:

These outcomes demonstrate that cost-effective observability isn't just about saving money—it improves overall IT performance and reliability.

Why limiting observability due to cost is a false economy

When organizations restrict monitoring to control costs, they create dangerous blind spots. A single undetected issue can lead to:

  • Revenue loss from service disruptions
  • Damaged customer relationships
  • Inefficient resource allocation as multiple experts struggle to diagnose problems
  • Increased compliance and security risks

Our approach recognizes that true cost efficiency comes from comprehensive, affordable observability that prevents these expensive outcomes.

Integration with the broader IT operations ecosystem

OpenText's observability solutions integrate with their complete OpenText Observability and Service Management Cloud, allowing organizations to:

This comprehensive approach creates a closed loop between observing, analyzing, and resolving issues—maximizing the value of observability investments.

Getting started with affordable observability

If you're concerned about monitoring costs spiraling out of control, OpenText offers a path forward:

  1. Evaluate your current observability coverage and cost structure
  2. Explore how OpenTelemetry can help avoid vendor lock-in
  3. Consider OpenText's domain-spanning solutions for complete visibility without surprise bills

By partnering with OpenText, you can build high-speed, reliable IT operations that deliver the performance modern businesses demand—without the unpredictable costs that plague traditional observability approaches.

Only then can you truly start to reimagine your information for sustainable business growth with longevity.

Following today’s announcement, let’s explore how OpenText is reimagining information management and spearheading cutting-edge innovation:

New innovations in Business Cloud

Secure access to knowledge is essential for staying ahead of the competition. OpenText empowers engineers, IT professionals, and teams with integrated, secure technologies that streamline operations and enhance efficiency to enable greater success in an increasingly complex digital world.

OpenText™ Content Cloud

In this release, we have launched new bundle offerings for our fast-deploying cloud content management solution, OpenText™ Core Content Management. These updates further support businesses battling with fragmented and inefficient access to siloed content and simplifies cloud adoption and the ability to leverage generative-AI. By doing so, we equip decision-makers with the right tools to address the persistent challenges of disconnected information retrieval and onerous searchability, reducing the limitations posed by outdated legacy systems. The result? Unlocked operational efficiencies and improved workplace productivity.

Improvements to OpenText Core Content Management include:

  • The integration of OpenText™ Content Aviator: Now available to all customers out-of-the-box and at no additional cost, in an easy to deploy express bundle. OpenText Content Aviator empowers employees to utilize intelligent chat-based conversational search, content discovery, summarization, and translation at the click of a button, boosting knowledge worker productivity by enabling customers to quickly find and understand context across a broader ecosystem of applications.
  • A new premium bundle that combines AI-powered SaaS content management with additional capabilities, including digital capture and signature, to enable customers to manage the full lifecycle of their content while reaping the benefits of a flexible SaaS solution.
  • Preconfigured business scenarios: Providing sales, HR, product management, and other common cross-departmental functions with pre-built workspaces, templates, and folder structures to enable faster deployment and quicker return-on-investment.

Additionally, OpenText Content Aviator has expanded availability for OpenText™ Core Archive for SAP and OpenText™ Core Content Management for SAP SuccessFactors bringing the productivity boost of a generative-AI assistant to these solutions.

The new bundle offerings, together with the expanded availability of OpenText Content Aviator, empowers organizations to accelerate departmental or enterprise-wide processes in the cloud, aligning with strategic digital transformation initiatives, empowering businesses to operate with agility, optimize productivity, and achieve long-term success in an increasingly complex digital landscape.

OpenText™ Cybersecurity Cloud

In Cybersecurity Enterprise, OpenText™ Core Identity Foundation, our next-generation identity and access management (IAM) SaaS platform, now gives IT directors and leadership within large-scale enterprises and regulated industries greater autonomy over identity and access controls designed to protect high-value data across the entire environment within a single platform.

By simplifying and automating fundamental identification processes, this release enables businesses to access the core collection of OpenText identity and access management capabilities under a single set of integrated microservices. By doing so, organizations can reduce security and compliance costs while ensuring adherence to government, cyber insurance, and internal standards. Additionally, the platform’s SaaS delivery model boosts operational efficiency and guarantees zero-trust security to meet the dynamic needs of modern enterprises.

OpenText™ Experience Cloud

In this release, organizations managing extensive digital asset collections or implementing enterprise-wide digital asset management (DAM) systems now have a powerful tool to unlock the full value of their rich media libraries. Powerful new search is provided by integrating OpenText™ Digital Asset Management (DAM) natively with OpenText™ Knowledge Discovery (IDOL). The new search adopts both advanced retrieval augmented generation (RAG) and AI-powered search to transform how users access and utilize assets.

By marrying these two solutions together, enterprises struggling with inefficient asset discovery, inconsistent metadata tagging across teams, and unnecessary duplication of content creation or procurement, can take advantage of the tool’s natural language search capabilities, powered by secure and private AI, to quickly locate the right assets - even in large libraries where metadata may be incomplete or inconsistent.

With reduced time spent searching, lowered storage costs for redundant assets, and enabled cross-departmental collaboration in content creation, this innovation empowers organizations to scale their digital asset management usage while ensuring iron clad security through a private AI service, eradicating the risk of exposing sensitive assets (unlike a public cloud environment).

OpenText™ IT Operations Cloud

To further increase IT visibility for better incident response and faster mean-time-to-repair (MTTR), we have bolstered the discovery capabilities in our vendor-neutral configuration management solution, deployable as SaaS, on-premises, or in the cloud.

Advanced Network Discovery for OpenText™ Universal Discovery and CMDB delivers deep, comprehensive visibility into how physical, virtual, and software-defined networking assets are configured. Now IT service management, operations, and network management teams can fully understand how network devices and their configurations support business service delivery - an area typically lacking detailed information from most CMDB discovery methods. The result? Faster MTTR and minimized service interruptions from networking changes.

CE 25.1 also introduces better visibility into operational technology (OT) and internet of things (IoT) devices by importing configuration data directly from Microsoft® Azure Defender. This ability gives enterprises extended insights into OT/IoT devices without requiring additional discovery tools or compromising OT/IoT security airgaps by deploying probes.

By increasing IT visibility across both networks and OT/IoT devices, OpenText Universal Discovery and CMDB further becomes a single source of configuration truth that IT, networking, and OT teams can use to troubleshoot faster, improve change success, and increase service delivery reliability.

New innovations in Business Technology

Moving to the cloud means connected data is key. OpenText provides robust, flexible data platforms deployable in private clouds, public clouds, and via APIs, delivering enterprise-grade capabilities wherever you need them.

OpenText™ DevOps Cloud

To support the developer community, innovations to TruClient 2.0, part of the OpenText™ performance engineering suite of solutions, further elevates performance testing by delivering an intuitive, scriptless tool that meets the needs of testers at all experience levels. Designed to simulate real user behavior and provide robust client-side metrics, TruClient 2.0 puts flexibility, control, and security at the center of the performance testing process.

What Every CIO Needs to Know About DORA: An IT Operations Perspective https://blogs.opentext.com/what-every-cio-needs-to-know-about-dora-an-it-operations-perspective/ Fri, 24 Jan 2025 14:23:18 +0000 https://blogs.opentext.com/?p=999306678 EU flag in front of building

The Digital Operational Resilience Act (DORA) is one such regulation that demands your attention. This EU regulation, which came into force on January 16, 2023, and will apply as of January 17, 2025, aims to fortify the IT security of financial entities and ensure the European financial sector can withstand major operational disruptions.

The implications of DORA are far-reaching and assuring DORA compliance will take a multi-disciplinary approach across IT operations, cybersecurity, application development teams, and others.  This blog covers how traditional IT operations across disciplines such as performance monitoring, observability, configuration management, and service/asset management can contribute to achieving DORA compliance.

Download this whitepaper to learn how OpenText IT operations solutions can help your organization achieve DORA compliance: Digital Operational Resilience Act: How your CMDB, IT Service Management (ITSM), and observability solutions can contribute to DORA compliance

Why is DORA so important?

The financial sector's growing reliance on technology and third-party providers exposes it to increased cyber threats and operational risks. DORA tackles this challenge head-on, establishing a harmonized framework for 20 different types of financial entities and ICT third-party service providers. Failure to comply carries significant regulatory risks, including potential fines and reputational damage.

What does DORA cover?

This regulation covers a wide range of aspects related to digital operational resilience, including:

  • ICT risk management: DORA mandates a comprehensive ICT risk management framework encompassing strategies, policies, procedures, and governance structures to ensure continuous risk monitoring and mitigation.
  • ICT-related incident management: Robust incident detection, management, and reporting processes are crucial. Entities must establish criteria for classifying incidents, reporting major incidents to authorities, and developing communication plans.
  • Digital operational resilience testing: Regular testing programs, including vulnerability assessments, penetration testing, and scenario-based tests, are essential to assess and improve resilience.
  • Managing ICT third-party risk: Entities must ensure third-party providers comply with ICT risk management requirements. Regular assessments, risk reviews, and maintaining a register of ICT third-party providers are mandatory.
  • Information-sharing arrangements: DORA encourages participation in information-sharing initiatives to enhance resilience while complying with data protection regulations.

How to prepare for DORA?

Achieving DORA compliance requires a multi-faceted approach, including:

  • Gaining a comprehensive understanding of your ICT assets and their interdependencies: This can be achieved through robust discovery and CMDB solutions, providing a clear picture of your IT landscape.
  • Establishing a strong governance framework: This framework should outline roles, responsibilities, policies, and procedures for ICT risk management, incident response, and testing. This framework should encompass not only IT operations, but also other IT disciplines such as cybersecurity and application development management.
  • Implementing robust monitoring and observability tools: These tools can help proactively detect anomalies, identify potential risks, and facilitate faster incident response. A coordinated monitoring response across both the IT operations and cybersecurity front will be critical to DORA compliance.
  • Developing and testing incident response plans: Regularly testing your incident response capabilities through simulations and exercises ensures you are prepared for real-world events.

This collaborative process must encompass IT operations, cybersecurity, and application development.

DORA implementation is an ongoing journey

The regulation will continue to evolve, with further policy standards and oversight procedures expected. It is vital to stay informed about the latest developments and proactively adapt your strategies. Several European Supervisory Authorities (ESAs) such as the European Banking Authority, the European Securities and Market Authority, and European Insurance and Occupational Pensions Authority maintain current DORA information, including updates to regulatory technical standards, implementation guidance, and other relevant topics.

By embracing DORA's principles and leveraging the right tools and processes, you can mitigate regulatory risks and strengthen your organization's IT security and operational resilience in the face of increasing digital threats.

OpenText IT Operations Cloud Products
Contributing to DORA compliance

Because DORA has such a broad scope, multiple stakeholders across IT will need to contribute to compliance efforts.   The following OpenText products can help from the IT operations perspective.

Is your business a sitting duck for cyberattacks?   https://blogs.opentext.com/is-your-business-a-sitting-duck-for-cyberattacks/ Fri, 13 Dec 2024 15:13:47 +0000 https://blogs.opentext.com/?p=999305658 A white queen chess piece is surrounded by several white pawns, indicating protection, on a chess board.

Think your business is safe? Every day, businesses just like yours are crippled by ransomware, data breaches, and relentless cyberattacks and these threats are evolving at a rapid pace. Don't wait until it’s too late and your business is a sitting duck. This is where we come in! Cybersecurity solutions aren’t about increasing revenues or decreasing costs (although they can do both), they’re about the actual survival and reputation of your organization.

The good news? The threat landscape isn’t the only thing evolving! We have reimagined everything about our Cybersecurity portfolio, from our web pages to our actual products. Forget facelift! This is a total transformation of the OpenText™ Cybersecurity portfolio. We've ripped out the old and built a sleek, powerful engine for navigating content and realigned our portfolio completely, helping you battle today's treacherous cyber landscape. Why? Because the threats are evolving faster than ever, and your defenses need to stay ahead of this ever-changing landscape.

Our revamped portfolio is your arsenal in the fight against cybercrime. We're not just offering products; we're delivering the cutting-edge intelligence and tools you need to:

  • Lock down your data: In ancient Egypt, hieroglyphic encryption was used to protect sensitive information. Today, simply keeping up with GDPR or CCPA is a minefield. Introducing OpenText™ Data Privacy and Protection - we'll help you keep your sensitive data out of the wrong hands and ensure compliance with today's complex regulations.

  • Build an impenetrable fortress around your applications: Everyone knows the classic story of the Trojan Horse. It’s a term that’s still in use today – 3,000 years later - to refer to a type of cybersecurity attack. Hackers are relentless, but so are we. Introducing OpenText™ Application Security - our application security solutions will fortify your code and crush vulnerabilities before they can be exploited.

  • Shut the door on unauthorized access: Even before the Roman Empire, a signet ring was a powerful tool for identification and authentication. These rings verified the identity of the bearer and granted them access to restricted areas or documents. Identity and Access Management remains a critical cornerstone of security today. Introducing OpenText™ Identity and Access Management - we'll help you implement zero-trust models and lock down your systems like Fort Knox.

  • Hunt down threats in real-time: The Cold War was a battle fought behind the battle lines through espionage. Intelligence gathering and threat analysis was key. Introducing OpenText™ Threat Detection and Response - our threat detection and response solutions are your digital 007s, sniffing out and neutralizing threats before they can wreak havoc.

  • Become a digital detective: Forensic science has its roots in 13th-century China. Song Ci developed methods to apply empirical observation to crimes. Introducing OpenText™ Digital Investigations and Forensics - when a digital attack happens to your organization (and it will), our forensic tools will help you uncover the truth, gather evidence, and rebuild stronger than before.

  • Outsmart the enemy: The Codebreakers of Bletchley Park, who cracked the Enigma code in WWII, proved (again) that staying ahead of threats is built on actionable threat intelligence. Introducing OpenText™ Threat Intelligence - we'll arm you with the knowledge you need to anticipate digital attacks and fortify your organizations cybersecurity defenses.

Transform your corporate help desk into a holiday hero! https://blogs.opentext.com/transform-your-corporate-help-desk-into-a-holiday-hero/ Thu, 12 Dec 2024 18:43:41 +0000 https://blogs.opentext.com/?p=999305612 Misfit toys

What’s your favorite holiday show? I mean besides Die Hard, of course. I have to admit that I’m partial to the 1964 TV special, Rudolph the Red-Nosed Reindeer.

I’m especially drawn to the “Island of Misfit Toys.” As a kid, it was relatable to think that there are others who don’t quite fit in, but wind up finding a place to call home anyways.

Corporate help desks often resemble the Island of Misfit Toys—a collection of tools and processes that don’t quite fit the needs of the season. From outdated systems struggling under increased demands to overwhelmed agents juggling inefficiencies, these "misfits" can leave employees and customers feeling stranded. That's where modern help desk automation comes in. Enter OpenText™ Service Management, which can turn these misfit tools into synchronized support heroes.

At OpenText, we’ve recently focused on consolidating our corporate help desk technology and processes to reduce costs and elevate employee experiences – two key goals of our CIO, Shannon Bell. Here are some of the challenges that she was looking to solve:

Take your help desk from chaos to cohesion

Much like the misfit toys yearning for purpose, traditional help desks often suffer from fragmented toolsets that don’t integrate or leverage the best practices of the others. OpenText Service Management provides a “configure, don’t code” approach to unify and elevate help desk functions across departments—IT, HR, facilities, and beyond. This approach delivers a faster time to value and lower costs to implement and make changes without the need for developers. It also ensures your configurations survive upgrades—making it easier to stay current with the latest capabilities.

An ai-powered  virtual helper: Your help desk's modern Rudolph

OpenText's generative AI assistant, Aviator, acts as a "Rudolph" for help desk automation, leading the way with real-time responses, automated ticket resolutions, and personalized support. By providing instant, human-like interactions, the AI assistant replaces inefficiency with cheer, enabling teams to deliver seamless service even during holiday (or open enrollment season) peaks. Take the click tour demo of Aviator for ITSM

Turn your corporate support portal into self-service magic

Imagine if every employee could go to one place for all the answers they need, in the channel that they prefer—like a toy that finally works as it was designed to. OpenText’s self-service web portal and parallel mobile app (for the younger generations) provide a unified experience across all the departments in your organization that handle requests such as IT, HR, legal, procurement, finance, facilities and so on. By consolidating this engagement in one centralized interface, you empower users to find answers independently, freeing up help desk staff for more complex challenges and ensuring everyone gets what they need under the tree of corporate support.

Securing the spirit of giving

Like Santa’s workshop, the security and privacy of operations are paramount. OpenText uses a private LLM to provide generative AI, so that your data isn’t exposed to public LLMs and shared with the world.

The transformation from misfit to masterpiece is the hallmark of the holiday season. By adopting innovative AI help desk technology like OpenText Service Management, organizations can ensure their help desks embody the spirit of efficiency, empowerment, and exceptional service during the most wonderful time of the year.

We would love to hear from you. Contact us with your questions.

Revolutionizing corporate help-desk management https://blogs.opentext.com/revolutionizing-corporate-help-desk-management/ Fri, 22 Nov 2024 05:00:00 +0000 https://blogs.opentext.com/revolutionizing-corporate-help-desk-management/

Managing a corporate help desk isn’t as simple as it might sound. Too many tools, too many help desks, and an overwhelming number of support tickets are the reality for many organizations today. Combine that with outdated data archives and limited self-service options and you have a perfect storm of inefficiency. The result? A high volume of complaints, frustrated employees, and overworked service teams.

Enter OpenText™ Service Management, a robust solution that simplifies operations and elevates employee experiences. With a single, AI-powered help desk for IT, HR, supply chain, facilities, and more, OpenText Service Management transforms how organizations address support needs while ensuring seamless experiences for employees.

The need for better help desks

Picture this scenario:

  • HR struggles with responding to repetitive inquiries because employees can’t find policy information buried in the intranet.
  • IT spends 30% of its time resetting passwords instead of focusing on pushing innovation forward.
  • Employees submit support tickets across fragmented systems, leading to low-resolution rates and frustration.

It's not hard to see why many organizations suffer from operational bottlenecks. Employees want fast, intuitive solutions, while businesses seek ways to stay efficient without adding more staff. A fragmented system falls short of meeting these expectations.

That’s where the Corporate Help Desk powered by OpenText Service Management saves the day.

A single help desk for all departments

The OpenText Service Management platform consolidates support functions across the organization into one unified help desk. Whether it’s IT, HR, supply chain, or facilities, employees get answers in one place—no endless emailing or bouncing between platforms.

For example, employees can:

  • Ask HR-related questions like "What is our parental leave policy?"
  • Request facilities services like "How can I get a replacement badge for building access?"
  • Resolve IT issues like "How do I reset my password?"

The integration of an AI-powered assistant into the system streamlines these inquiries further, making tasks such as ticket submissions and FAQs effortless to resolve.

Advantages of a unified help desk

Why should your organization consider a single help desk model? Here’s what you stand to gain:

1. Workflow streamlining A single platform creates a more efficient workflow by reducing complexity and automating repetitive tasks. Departments no longer rely on disparate systems, ensuring quicker resolution of issues.

2. AI-powered self-service Think of AI as your company’s super-efficient assistant. Employees can interact with AI to find quick solutions for frequently asked questions—no human intervention needed. From looking up a benefits policy to resetting a password, AI handles routine queries, leaving human agents to focus on higher-value tasks.

3. Centralized data access Forget digging through outdated archives. With OpenText Service Management, all necessary documents, policies, and procedures are easily searchable and accessible, empowering employees to find what they need in minutes.

4. Reduced workload for agents With AI covering repetitive tasks, service agents can give their full attention to more complex and sensitive queries. This results in faster response times and more personalized assistance when employees need to speak with a human.

Real-life success stories

Need proof that OpenText Service Management works? Here’s how OpenText is using OpenText Services Management to reap the benefits:

HR use case

Andrea, an HR manager at OpenText, shares her experience:

  • Promoting self-service – "Employees often don’t instinctively go to the company intranet for answers. With OpenText Services Management, we direct them to specific content based on their questions. This leads to fewer HR tickets and empowers employees to find answers themselves."
  • Improving transactions – "Our annual wellness reimbursement process, for example, required employees to email forms manually, leading to back-and-forth confusion. Now employees submit directly in the system with structured fields, minimizing errors and reducing processing delays."
  • End-to-end HR support – "We handle all inquiries from onboarding to retirement using OpenText Service Management’s ticketing functionality—streamlining our services for more than 22,000 employees."

IT use case

Stephanie, IT manager, highlights IT improvements:

  • Simplifying password resets – "Password resets previously accounted for 30% of our total support volume. With OpenText Service Management, employees are efficiently guided to self-service options, drastically reducing IT intervention."
  • Real-time metrics for decision making – "We’ve eliminated the need for full-time employees dedicated to generating manual performance reports. OpenText Service Management’s dashboards provide real-time visibility into service metrics like ticket categories and aging tickets. It saves us time and money."

Business benefits you can't ignore

The impact of implementing a unified help desk isn’t just functional—it’s financial.

  • Cost savings: OpenText Service Management has allowed OpenText’s IT Service Desk to reduce staffing by 25%, translating to significant cost efficiencies for the organization.
  • Higher productivity: HR ticket volumes dropped dramatically as more employees adopted self-service. Team members now focus on complex cases, delivering faster resolutions and better support.
  • Data-driven decisions: Real-time dashboards eliminate the guesswork. Accurate data lays a solid foundation for strategic decisions.

Give employees their channel of choice

Modern employees, especially Millennials and Gen Zs, prefer self-service over calling a service desk. They want answers right now, on their terms. OpenText Service Management’s mobile and desktop interfaces provide an intuitive experience that meets employees where they are—ensuring they feel supported no matter the time or location.

That said, the human touch hasn’t disappeared. For sensitive or complicated matters, HR representatives and IT agents can step in to offer personalized support.

Transform employee experiences

Ultimately, the success of any corporate help desk lies in how it supports and empowers employees. With OpenText Service Management, your organization can bridge the gap between operational efficiency and an outstanding employee experience.

When your operations teams—HR, IT, supply chain, and facilities—have access to the right tools, they can elevate their day-to-day work. And when employees have faster support and greater autonomy, they’re more satisfied and productive.

Are you ready to transform your help desk experience? Learn how OpenText Service Management can revolutionize your operations today.
